Access, Attendance and Leave Management Software | Godrej Security Solutions
One platform for who comes in, when, and who is on leave
Godrej Access, Attendance and Leave Management Software brings access control, time attendance and leave administration into a single web-based platform. It captures punches from your access devices automatically, applies your shift and leave rules, and turns the result into reports your HR, payroll and security teams can act on.
For most organizations, these three jobs live in separate places today: the access system at the gate, an attendance spreadsheet with HR, and leave requests in email. That split creates manual reconciliation every month, disputes over late marks and overtime, and payroll errors that are hard to trace.

The Godrej software closes that gap. Built by Godrej Security Solutions, it is designed for everything from a single office to large corporations running many remote sites. In this guide we walk through every feature listed in the product catalogue, grouped the way the software itself is organised:
System architecture
Masters data creation and configuration
Reports
Leave management
Audit reports
Integration
We also cover the new-generation platform (AC & VMS Software 2.0), its redesigned interface, and the multi-location setup that ties it to Godrej biometric devices

1. System architecture: built to scale from one site to many

The architecture decides how far a system can grow and how reliably it runs. Godrej built this platform on enterprise foundations so it can serve a single factory today and a national network tomorrow.
3-tier architecture with MS-SQL database
The software separates three layers: the user interface you see in the browser, the application layer that runs the business logic, and the database that stores the records. Microsoft SQL Server is the database.
Why it matters: each layer can be tuned, secured and scaled on its own. Heavy report generation does not slow down the screens your HR team uses, and your IT team works with a database platform it already knows how to back up and maintain.
Web-based, works on all major browsers
There is nothing to install on individual PCs. Administrators, HR staff and supervisors simply open the application in a standard web browser.
Why it matters: rolling the system out to a new department or location is as simple as sharing a link and creating user accounts. Updates happen once on the server instead of on every machine.
Modular, scalable and centralised
The software is built as modules (attendance, leave, reports and so on) running on one central system. You can start with what you need and add capability as requirements grow.
Why it matters: all locations work on one set of rules and one database. Head office sees the whole organization in one place, without collecting files from each branch.
Handles large corporations with multiple remote sites
The platform is designed to manage many sites, plants and branch offices from a single installation.
Why it matters: a company with a head office, several factories and regional offices gets consistent attendance policy everywhere, with central control and local visibility.
Employee transfer module
When an employee moves from one location, department or company to another, a dedicated transfer module moves their record without breaking their history.
Why it matters: attendance, leave balances and past records travel with the employee. HR does not need to create a duplicate profile or carry balances across by hand.
Supports mirroring and clustering
The database can be mirrored to a standby copy, and the system can run in a clustered setup across more than one server.
Why it matters: if one server fails, another takes over. Attendance data is safe from hardware failure, and the system stays available during working hours, when it is needed most.
Role-based user management (Admin/User)
Access to the software itself is controlled by role. Administrators configure the system and its rules; users see and do only what their role allows.
Why it matters: sensitive HR data stays restricted, and configuration changes are limited to the people responsible for them.
2. Masters data creation and configuration: set it up once, let it run
Masters are the building blocks every attendance rule depends on: who your employees are, where they work and which shift they follow. Getting them right once means the system can do the daily work on its own.
Multiple companies, locations, departments, designations, categories and shifts
You can define several companies under one installation, and within each, as many locations, departments, designations, employee categories and shifts as you need.
Why it matters: a group with multiple legal entities, or a plant with staff, workers and contract labour on different rules, can model its real structure. Each category can carry its own shift timings and policies, and reports can be cut along any of these lines.
Automatic shift detection
The software works out which shift an employee is on from their actual punch time, instead of relying only on a fixed roster.
Why it matters: in plants and hospitals where people rotate between morning, evening and night shifts, supervisors no longer have to update a roster every week. Late marks and overtime are calculated against the shift the person actually worked.
Bulk upload and import of employee and user data
Employee and user records can be imported in bulk rather than typed in one at a time.
Why it matters: going live with hundreds or thousands of employees takes hours, not weeks. The same facility helps when a new site or a large batch of joiners comes on board.
Hierarchy management
The reporting hierarchy, meaning who reports to whom, is defined inside the system.
Why it matters: leave and outdoor-duty requests route automatically to the right approver, and supervisors see attendance only for the people who report to them.
Automatic data capture and processing
Punches from connected access and attendance devices flow into the software and are processed against shifts, holidays and leave without manual steps.
Why it matters: no one has to download logs from devices or run a monthly calculation by hand. Attendance is ready to view as it happens, and the risk of copying errors disappears.
3. Reports: from live headcount to statutory registers
Reporting is where attendance data turns into decisions. The software offers live dashboards for the security desk, detailed registers for HR and compliance, and summaries for management.
Dashboard of live and daily headcount
A dashboard shows how many people are on the premises right now and the headcount for the day.
Why it matters: security knows exactly who is inside, which is critical during an emergency evacuation. Operations managers can check at a glance whether a shift is fully staffed.
Master data and attendance reports in statutory and specific formats
The software produces employee master reports and attendance registers in statutory formats, as well as in formats specific to your organization.
Why it matters: registers required by labour laws are ready when an inspector asks for them, and internal teams get the layouts they are used to without reformatting in Excel.
Daily, monthly and yearly MIS reports
Management information reports are available for the day, the month and the year.
Why it matters: a daily report flags absenteeism and late arrivals while there is still time to act; monthly reports feed payroll; yearly reports show trends for workforce planning.
Individual or group view for supervisors
Supervisors can view any of these reports for a single employee or for a whole group.
Why it matters: a line manager can review their team's attendance without asking HR for a report, and can drill into one person's record when a question comes up.
Flexible filters
Reports can be filtered by employee, designation, date, month, year and more.
Why it matters: answering a specific question, such as how many supervisors were late in March, takes a few clicks instead of a manual sort.
Attendance reports for every rule category
Dedicated reports cover the attendance categories that most often cause disputes:
Early limit time and late limit time: the window around shift start and end within which punches are counted.
Early allowed limit and late allowed time: how early an employee may leave, or how late they may arrive, before it counts against them.
Grace late time: a short buffer after shift start during which a late arrival is not marked late.
Comp off: compensatory off earned for working on a weekly off or holiday.
Overtime: hours worked beyond the scheduled shift.
Why it matters: these rules are applied the same way for everyone, every day. Employees and managers can see exactly why a day was marked late or why overtime was paid, which removes most monthly disputes.
Automatic adjustment of last month's attendance in the current month
If a correction to last month's attendance comes in after the month is closed, the software carries the adjustment into the current month.
Why it matters: payroll for the closed month does not need to be reopened. A missed punch or late-approved leave is still settled fairly in the next cycle.
Manual data entry with required authorisation
Where a punch is missed, for example because of a device outage or an employee working off site, attendance can be entered manually, but only with the required approval.
Why it matters: genuine exceptions are handled without losing control. Every manual change goes through an authorised person, which protects against misuse.
4. Leave management: requests, approvals and balances in one flow
Because leave sits in the same system as attendance, an approved leave day is never marked absent, and balances are always current.
Leave, tour and outdoor duty applications with authorisation
Employees apply for leave, official tours or outdoor duty inside the software. The request goes to the approver defined in the hierarchy, who authorises or rejects it.
Why it matters: field staff and travelling employees are not marked absent on days they were working away from their desk. Approvals leave a clear record, and no request gets lost in an inbox.
Weekly offs and holidays
Weekly offs and the holiday calendar are configured in the system and applied automatically.
Why it matters: different locations or categories can follow different holiday lists and weekly off patterns. Comp off for working on these days is calculated correctly.
Leave reports: calculations, balances and encashment
The software provides reports for leave calculations, current leave balances and leave encashment.
Why it matters: employees and HR always see the same, up-to-date balance. At year end or at exit, encashment figures are ready for payroll without manual working.
Carry forward of leaves
Unused leave can be carried forward into the next period according to your policy.
Why it matters: year-end rollover happens automatically and consistently for every employee, instead of through a spreadsheet exercise.
5. Audit reports: every change on record
Audit and transaction logs
The software keeps audit logs of user actions and transaction logs of the data processed.
Why it matters: when someone asks who changed an attendance entry, approved a leave or edited a shift, the answer is in the log. This supports internal audit, compliance reviews and the investigation of disputes, and it discourages tampering in the first place.
6. Integration: feed payroll and HR systems directly
Integration with third-party payroll, HRM, SAP and ERP
Processed attendance and leave data can be exported to third-party payroll, HRM, SAP or ERP systems in the specific format each one needs.
Why it matters: payable days, overtime, leave and comp off flow straight into salary processing. HR stops re-keying numbers at month end, and the figures in payroll match the figures in attendance exactly.
7. The next generation: AC & VMS Software 2.0

Godrej's security software is moving to a new platform, AC & VMS Software 2.0, which brings access control and visitor management onto a modern foundation. It keeps the capabilities described above and upgrades how the system is built, how it looks and how it scales.
3-tier architecture upgrade
The user interface, the application layer and the database are fully separated.
Why it matters: work is spread more evenly across the system, so it supports larger deployments and more simultaneous users without slowing down.
Completely redesigned interface
The old screen with a row of text menus has been replaced by a modern layout. A sidebar groups every module (Users, Controllers, Access Control, Live Monitor, Settings, Visitor Management, Reports and Help), and the home screen shows searchable lists, today's appointments and a calendar side by side.
Why it matters: new users find their way without training, routine tasks take fewer clicks, and critical information is visible the moment you log in. Built-in text-size controls also make the screens easier to read for everyone.
Light and dark themes
Users can switch between a light theme and a dark theme.
Why it matters: a dark theme is easier on the eyes for security and control-room staff working night shifts in low light.
Multilingual interface
The interface includes a language selector, and forms can be shown in regional languages such as Hindi as well as English.
Why it matters: front-desk, security and shop-floor staff can work in the language they are most comfortable with, which reduces data-entry mistakes.

Two editions to match your scale
Edition | Best for | What you get |
Standard | Small to medium sites | Cost-effective deployment with essential security features |
Enterprise | Large and multi-location organizations | Centralized monitoring and management, advanced integrations and scalability |
How a multi-location deployment fits together
In a multi-site rollout, one central production server runs the Godrej application and the Alpeta middleware, each with its own database. Every location connects to it over the customer's own VPN.

At each site, a network switch links Godrej U-Bio X-Face Pro face recognition devices, a local PC and a printer to the central server. Visitors receive a printed pass with a QR code, and the device camera reads it at the door, so the same terminal handles employees and visitors.
The devices also connect to the building's safety and entry hardware:
Fire alarm integration (as per NFPA 72): when the fire alarm triggers, doors release so people can evacuate safely.
Exit button integration: staff can open a door from the inside without a card or face scan.
EM lock output: the device directly controls the electromagnetic lock on the door.
Turnstile output: the device drives turnstiles at lobbies and gates.
Why it matters: every location runs on one database and one set of rules, while each site keeps working with its own doors, turnstiles and safety systems.
